Inner Insight Hypnosis

Client Privacy Notice

This notice explains how Inner Insight Hypnosis Ltd (the "Company") collects, uses, stores and protects your personal information when you engage with us for hypnotherapy services. It applies alongside our general website Privacy Policy, which covers visitors to www.innerinsighthypnosis.com.

Who we are

Inner Insight Hypnosis Ltd (company number 16961913) is the data controller for the information you provide to us. Our registered address is 23 Barlstone Avenue, Blythe Bridge, Stoke-on-Trent, ST11 9PJ. We are registered with the Information Commissioner's Office, registration reference ZC163447.

For any question about how we handle your data, or to exercise your rights, contact Phillip Evans at [email protected] or by post to the address above.

What information we collect

We collect: your name, contact details, date of birth and address; emergency contact details; occupation; GP details; medical conditions, medications and mental health information you disclose; details of what you want help with; information disclosed during sessions; payment information (processed by our payment provider, not held by us); and, where provided, personalised audio recordings made for you.

Why we collect it and our lawful basis

We collect your contact and booking details to provide our contracted service to you. Health and mental health information is special category data. We collect this only where you give explicit consent, because we need it to assess whether hypnotherapy is suitable for you and to work safely with you. You can withdraw this consent at any time, though we may need to retain some records regardless of withdrawal, as explained under Retention below.

Who we share it with

We use the following providers to deliver our service, all of whom process your information under contract with us:

  • HypnoBiz-in-a-Box, for our booking forms, client records, SMS and email communications, and audio delivery

  • Stripe, for payment processing

  • Google Meet, for online sessions

We may also share relevant information with:

  • Your GP, but only with your agreement as set out on your consent form, or where there is a serious risk to your safety

  • Your emergency contact, but only with your agreement as set out on your consent form, or where there is a serious concern for your safety or I cannot reach you during an online session

  • My clinical supervisor, on an anonymised basis, as part of my professional practice

  • My professional indemnity insurer and legal advisers, if needed to handle a complaint or claim

  • The police, courts, or statutory authorities, where required by law or where there is a risk to your safety or someone else's, or where disclosure is necessary to prevent a serious crime.

We do not sell your information or share it for marketing purposes with any third party.

International transfers

Some of the providers listed above may store or process data outside the UK. Where this happens, we rely on safeguards recognised under UK data protection law, such as the UK's international data transfer addendum or an adequacy decision.

How long we keep your information

We currently intend to keep client notes, health information and signed forms for 7 years after your last session, so that we can provide safe continuity of care and meet insurance and legal requirements. Where a client was under 18 at the time of treatment, we keep records until their 25th birthday. Personalised audio recordings are deleted six months after your final session, or earlier if you ask us to delete them; copies you have already downloaded remain yours. After these periods, records are securely destroyed or deleted.

Your rights

Under UK data protection law you have the right to: ask for a copy of the information we hold about you; ask us to correct inaccurate information; ask us to erase your information, though we may need to retain some records for legal or insurance reasons even after a request; object to or restrict how we use your information; and withdraw consent at any time. To exercise any of these rights, contact us using the details above. You also have the right to complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113) if you are unhappy with how we have handled your information.

Children

Our online booking process is for adults aged 18 and over. Clients under 18 are seen only with separate written parental or guardian permission, arranged directly with Phillip, and their records are handled under the retention terms set out above.
